Batch processing in Velocify Lead Manager allows users to apply the same action to a large group of leads at once, streamlining tasks that involve many records. Common use cases include:
- Changing the status of a large group of leads
- Reassigning leads to different users
- Changing the campaign for a group of leads
- Deleting a large group of leads
- Batch processing is limited to performing a single operation on all selected leads at a time. For instance, you can run a batch process to change all selected leads to the “New” status but cannot change some leads to “New” and others to “Nurture” in the same batch. Separate batch processes would be required for each operation.
- It’s important to note that batch processes cannot be undone. Always review your selection and confirm the operation is correct before proceeding.
How to Run a Batch Process
Batch processing involves two main steps: creating a custom report to select your leads and running the batch process on the report.
- Create a Custom Report
- Leads Base Data: In Step 1 of the report creation, ensure the “Leads” base data is selected. Batch processes can only be run on a leads report. If your company uses Velocify’s Direct Mail Warehouse, you can also select “Direct Mail Records” for batch processes related to direct mail.
- Columns: In Step 2, the columns in your report do not affect the leads chosen for the batch process. However, it’s a good practice to include columns like Lead ID, Date Added, Status, and Campaign for easier identification.
- Filters: In Step 3, use filters to isolate the exact leads you want to modify. Make sure your filters are accurate to avoid unintended changes.
2. Run the Batch Process
- Once your custom report is ready, confirm that the correct leads are displayed and then select [Run Batch Process].
- On the Create Batch Process page, you’ll be prompted to enter the details of the batch process:
- Action: Choose what you want to do with the leads.

Logs and Triggers: Based on the action you choose, you can decide which logs or triggers to apply.

- Arguments: Some batch processes require additional details. For instance, if you’re changing the status of leads, specify the new status. Similarly, if you’re taking an action, choose the appropriate action and leave any relevant comments.
- Schedule the Batch: You can run the batch process immediately, schedule it for a specific date, or set it to recur daily, weekly, or monthly. Scheduled batch processes will execute at 12:00 AM Pacific time unless “Immediately” is chosen.
- After entering the details, select [Submit Batch]. A confirmation message will appear, giving you one last chance to verify the process before it runs.
Viewing and Managing Batch Processes
- You can view logs of scheduled and executed batch processes by navigating to Menu – Reporting – Batch Process.
- The Scheduled Batch Processes section shows upcoming batch processes, including the next execution date, the report used, the user who scheduled it, the recurrence frequency, and the action taken.
- The Executed Batch Processes section displays completed processes, showing the execution time, report used, user who submitted it, action taken, and the number of leads processed. You can also see the status of each batch process.
