A duplicate lead refers to an individual who already exists in the LeadManager account. While leads may share overlapping details such as address or even name, they are not considered duplicates unless they refer to the same person. Unique identifiers like social security numbers or email addresses, or combinations of criteria such as first name, last name, and zip code, help in identifying duplicates. When the system identifies potential duplicates, these leads are removed from the distribution queue to prevent further allocation. They are then listed in the Duplicate Reconciliation Report, where users must confirm whether the lead is truly a duplicate to avoid false positives. Reasons for duplicate leads
- One Lead, Many Providers: Duplicate leads can occur when the same lead is sold by multiple providers1. This happens when an individual fills out an online form that is distributed by various lead providers2.
- One Lead, Many Submissions: Duplicates can also result from a single individual submitting their information multiple times3. This includes filling out several online forms or re-submitting a form after some time, indicating renewed interest.
Creating a Duplicate Management Program
- Program Setup: Create a new program in Duplicate Management under Lead Management.
- Lead Filters: Configure which leads will be checked for duplicates by setting filters, similar to those used in distribution programs.
- Duplicate Identification: Select criteria from available fields to identify duplicate leads. For example, exclude leads with a “Closed” status.
- Real-Time Alerts: Duplicate leads can be reviewed immediately through the Duplicate Lead Alert that pops up when duplicates are detected.
- Batch Review: Duplicates can also be reviewed in larger batches using the Duplicate Reconciliation Report.
Duplicate Reconciliation report
- Navigate to the Menu page, click on your name, and select Duplicate Leads under Reporting.

- Adjust settings for targeted results by selecting specific campaigns, programs, and date ranges. Click Go to generate the report.

- Use the Compare Duplicate form to view side-by-side comparisons of new and existing leads. Highlighted fields indicate duplicate information.
- Manually confirm or deny duplicates based on matching criteria such as name, address, and email.
This process helps ensure accurate lead management by identifying and reconciling duplicate entries.
Parenting and merging
- This process involves selecting a Parent or Primary lead to merge duplicate leads into one. The default option is to use the existing lead as the parent.
- The parent lead serves as the data foundation for the merged lead, retaining logs and information about how the lead has been worked.
- If the new lead has more complete information, you can capture this data while keeping the existing lead’s log information.
- You can select actions to be taken on the lead after merging, such as preparing the lead to be returned or promoting it in the user’s queue.
